About the Team
The Workplace team keeps the San Carlos office running smoothly for everyone building NEO, from the front desk to the break room to a new hire's first day. We're the team people count on to make the office just work, so the rest of the company can focus on the mission.
Your Charter
Be the first point of contact and go to resource for everything happening in the San Carlos office, making sure day to day office operations, events, and the new hire experience run without a hitch.
Key Outcomes
Owning front desk and visitor check in so every guest and new hire has a smooth, professional first experience
Keeping break room supplies and catering coordinated and fully stocked for meetings and daily use
Managing desk assignments and seating maps, keeping the platform accurate and up to date as the team grows
Triaging and resolving workplace Jira tickets in a timely manner so open items don't pile up
Planning and running office events, monthly birthday celebrations, and other culture moments
Coordinating with IT, HR, and Facilities on new hire onboarding logistics so every new hire has what they need on day one
Managing employee workplace perks and enrollments, like DoorDash and EV charging, accurately and on time
Key Competencies
Highly organized and able to juggle a wide range of daily responsibilities without dropping the ball
Warm and professional, comfortable being the face of the office for visitors, candidates, and new hires
Proactive and takes ownership of whatever the office needs rather than waiting to be asked
Detail oriented, especially with things like seating maps, supply inventory, and event logistics
Strong communicator who can coordinate across IT, HR, Facilities, and outside vendors
Comfortable with ambiguity and shifting priorities throughout the day
Minimum Requirements
1-2+ years of experience in an office coordinator, workplace, front desk, or administrative role
High school diploma or equivalent
Comfortable using ticketing tools like Jira and basic office software
Strong organizational and time management skills
Preferred Skills
Experience planning office events or employee engagement activities
Experience supporting new hire onboarding logistics
Familiarity with desk or seating management platforms

Compensation Range
$35.00/hr - $40.00/HR + Equity
